Use Microsoft Copilot to Draft Building Policies and SOPs
What This Does
Copilot in Word drafts new building policies, maintenance SOPs, and safety procedures in the same format and tone as your existing documents — so updating a fire safety policy or adding a new green cleaning procedure takes 15 minutes instead of 3 hours.
Before You Start
- You have Microsoft Word open (desktop or web at word.microsoft.com)
- You're signed in with a Microsoft 365 Business or Enterprise account that includes Copilot
- You have an existing policy or SOP document open (Copilot uses its style as reference)
Steps
1. Open your existing document and find Copilot
Open the policy or SOP document you want to update or use as a style reference. Click the Copilot icon in the right panel (a small spark/star symbol). It opens in a side panel. If you don't see it, look in the Home ribbon on the right side.
2. Describe what you need
In the Copilot panel, type your request. Be specific about what the policy or procedure should cover:
- "Add a new section on contractor safety orientation. Include: check-in process, required PPE, areas requiring escort, emergency contact, and sign-off requirement."
- "Update the HVAC maintenance SOP to add a section on emergency shutdown procedures for a refrigerant leak event. Include step-by-step actions, who to call, and documentation required."
- "Draft a new energy conservation policy for building occupants covering: thermostat settings, after-hours lighting, space heater restrictions, and reporting procedure."
3. Review and insert
Copilot generates the text in the panel. Click Insert to place it in your document. Then edit for accuracy — ensure specific system names, emergency contact numbers, and code references match your actual building.
Real Example
Scenario: Your city just passed new benchmarking requirements, and your building's sustainability policy needs an updated section on energy reporting compliance.
What you type: "Add a policy section on annual energy benchmarking compliance. Include: building's obligation to report through EPA ENERGY STAR Portfolio Manager, who is responsible (Facilities Manager), reporting deadline (April 1), data sources needed (utility bills, occupancy data), and consequence of non-compliance."
What you get: A policy section in formal language matching your existing document's format — ready to edit for your specific building details and share for sign-off.
Tips
- Open your best-written existing SOP before starting — Copilot reads the document and matches your writing style and formatting automatically
- Always verify specific regulatory references (code numbers, dates, thresholds) against official sources before finalizing — Copilot may have outdated specifics
- Use Copilot to standardize older SOPs: "Rewrite this section to match the format and tone of [paste a well-written section]"
Tool interfaces change — if a button has moved, look for similar AI/magic/smart options in the same menu area.
